1. Data Controller & Overview
CineFilmFest ("we", "us", or "our") operates this website and the annual CineFilmFest event.
For the purposes of the General Data Protection Regulation (GDPR) and applicable data protection laws, the legal entity acting as the Data Controller for all personal data processed through this website and during the festival operations is Tanteitalie B.V., a company registered in the Netherlands.
- Website: https://cinefilmfest.com
- Privacy Enquiries: info@cinefilmfest.com (or your preferred email)
- Data Controller Address: Tanteitalie B.V., The Hague
- Registration / Chamber of Commerce (KvK): 63286920
2. Global Submissions & FilmFreeway Integration
CineFilmFest accepts film submissions from filmmakers around the world. To facilitate global submissions, we use FilmFreeway (operated by FilmFreeway Inc., USA) as our third-party submission engine.
How Data Is Collected Globally
- Independent Platform Processing: When you submit a film, project, or personal details via FilmFreeway, your data is initially collected by FilmFreeway under their own terms and privacy practices. FilmFreeway acts as an independent Data Controller for your platform account.
- Data Transferred to CineFilmFest: Once you submit to CineFilmFest, FilmFreeway makes your project data (including filmmaker contact details, biographies, film stills, press kits, and screener access) available to us.
- Local Operational Processing: We access and selectively export necessary project data to conduct judging, select official entries, build festival schedules, produce promotional catalogs, and organize local screening operations in the Netherlands.
3. Data Transfers Outside the European Economic Area (EEA)
Because CineFilmFest operates globally via FilmFreeway, personal data submitted from outside the European Union or European Economic Area (EEA) is transferred and accessed across international borders.
US-Based Services: FilmFreeway is based in the United States. Accessing and importing film submission data from FilmFreeway relies on standard data protection safeguards implemented by FilmFreeway (such as Standard Contractual Clauses or equivalent transfer mechanisms under GDPR Chapter V).
Global Access: If you submit a project from outside the EEA, your submission data is processed to execute the performance of your submission contract with CineFilmFest.
4. Purposes and Legal Bases for Data Processing

Selected Submissions: If your film is officially selected for CineFilmFest, we may publish filmmaker biographies, film stills, trailers, and promotional text on cinefilmfest.com, social media channels, printed programs, and press releases.
6. Data Retention Period
We retain personal data only for as long as necessary to fulfill the purposes for which it was collected:
- Unselected Submissions: Local operational data exported from FilmFreeway for non-selected films is erased within 1 year following the conclusion of the festival edition.
- Selected Submissions & Winners: Contact info, credit listings, and promotional materials are retained for 2 years to maintain historical festival records and coordinate future editions.
- FilmFreeway Profiles: Data stored directly within your FilmFreeway user account must be updated or deleted by you directly through the FilmFreeway platform.
7. Your Data Subject Rights (GDPR)
